The AI adoption ladder

In 24 months you company may be irrelevant in the Market. Yes, according to Rich Schefren from ZenithMind OS, that is the time you and your company have to be either AI Integrated or Economically Irrelevant. Tough?!

Reality is that AI is no longer the future, but the present. So, which one are you going to be?

We have already said that our mission at Andimol is to help and guide the HubSpot customer to start on the AI path and to be able to fully integrate and adopt it in the short term. But how to start is the main question we get.

The first step…Realise your current situation

Identify your AI readiness

The first mistake is thinking that because you are playing with ChatGPT to ask questions or draft emails, you rock at AI. 🚨 

Considering your company AI integrated means using AI in every process of your business. So ask yourself, how far are we?

If we are thinking in the AI adoption or Integration ladder, take a look at these steps:

Level 0 > AI-Unaware: meaning you are not using AI at all. Maybe you think is not relevant to you or for your industry, you keep using Google search and think that your customers are just as conservative. Your economic extinction is imminent  

Level 1> AI-Tourist: You are playful with AI, you ask simple questions, build email templates or to improve some documents. You think is a far are you need to get, you feel safe. You are 18 months away to be irrelevant. I used to be in this level a year and a half ago, so don't freak out, there’s still hope.

Level2> AI-User: You are a frequent user, you have crafted some prompts (or at least tried some basic ones), everything you do you consult it with the AI tool (thinking its working for you but in reality you have become his assistant 🤣) You feel you are crushing it, but most of the work is manually entered (bring things in-bring things out), so sorry to tell you that your usage it's still catalog as basic. You have 12 months to move into the next step or fall behind on the way. This was definitely me last year, optimizing all my documents and procedures with the help of AI (using the free versions still, of course), also brainstorming ideas and gathering information. But it still felt slow and disconnected from all the platforms I was working on, and I was repeating things to the AI once an again to get them right. I was actually spending as much time "playing with AI" as working directly on the thing itself.

Level 3> AI-Integrated: You are using advance tools (mostly paid) that have memory and remember your conversations, context is always present, you don't have to repeat things every time. Your prompts are getting more extensive and complete, you also have your tools connected so that everything flows smoothly, meaning your processes are automated with AI too. At this level you can already see a jump in productivity doing your work better and faster. If you have reach this step, good news, you wont become irrelevant to the current market (of course as long as you keep improving what you do)

Level 4> AI-Native: at this point you cannot imagine working without AI tools. Everything that you do, every process of your business is integrated with AI. AI is no longer just an assistant or a tool, is way of working, a philosophy, is really being AI first, from AI- to AI, creating with AI and giving feedback to AI to analyze and create again. This is the only way to really scale up, and we are not talking about replacing humans but getting there were no human had ever the capacity to go, achieving results never imagined.

So now be honest, and identify yourself/your company with any of these levels. So what's next?

How move up the AI adoption ladder

Until now, when had someone new in the company you cannot said they were fully part of the team if they didn’t know the culture, the business, the values, the team members, the products and services. With AI it’s the same, you cannot get to Level 4 if the AI doesn’t know you and your business. The only way it will get better with time is with you giving it more context and information for it to remember. If every morning you have to explain to ChatGPT or Claude or Perplexity everything all over again...you are stuck in the "50 First dates" loop. 

Let me give you first a life advise (for free of course): If nothing changes, nothing changes. And if you want to embrace change you have to do 2 things: let something go and learn something new. Keep this in mind for you and for your business.

If you are at Level 0, you can start by searching or downloading any of the tools mentioned before to play around a bit. And in the HubSpot world you can start by getting acquainted with the more than 100 tools that you have available today running with AI. Rip the bandaid off and loose the fear.

Level 1 and Level 2 may give you and your company a sense of confort, you feel cool because you use ChatGPT to build a marketing plan (or you weekly menu or your gym routine). But these levels are the most inefficient ones, because right now you are not tracking all the time your are spending every time you are prompting and refining and asking again, and giving context again. Believe me, I've been there, and the only outcome here is wanting to let everything go. But, hang in there, you can get better at this.

At this point you are probably using some of the HubSpot's tools like the content enhancements, the AI summaries or even challenging Copilot a bit. Data enrichment with credits are something you are starting to enjoy but everything IS still manual, we have settle that a couple of minutes ago. Content hub and the remix tool are the company’s best investment to help the marketing team get campaigns up and running faster. The Sales team may be enjoying the email templates AI generator and also the AI summaries in the company record to get the whole context, or even using the assistant to prepare for a meeting. But again, manual stuff. If you continue just like this, you won’t get to the next level, and in the near future you will get behind. 

So what is Level 3 and Level 4? Agents and workflows with AI integrations. At this level processes are flowing AI fueled. And I'm talking about automatic enrichment and lead qualification from form submissions (with Credits or with external tools like Clay), personalized content and emails sent with the Prospecting agent, agents being triggered and doing personalized actions like getting context for the Sales team, tickets being solved automatically with the Customer Agent, using Ask Breeze actions in Workflows to analyze un-structured data or have your LLM connect via API to perform actions in your workflows (You can then use the outputs of these actions with other workflow actions, such as sending email notifications and updating CRM records) or having your HubSpot information available in Claude or ChatGPT to get customized responses to your prompts.

At these levels nothing is improvised, processes are well defined and structured, HubSpot and AI are deeply connected — not just one-off automations, but a system where AI continuously powers your marketing, sales, and service.

But these are just some examples of how we see these levels of AI adoption in some HubSpot portals and what YOU can be achieving in the next months.

Mistakes to avoid when adopting AI for your company

Many HubSpot customers feel they’re “doing AI” because they’ve tried prompts. But here are some common mistakes to avoid that I've wish someone had told me sooner and that 'd have made me adopt AI faster:

  • Thinking AI is not for your generation or you industry/business (your customers and competitor may be way ahead of you)
  • Relying on free tools with no integration
  • Treating AI as a one-off assistant instead of embedding it in processes
  • Not training AI on their company’s context/data (this will be coming up next in HubSpot -soon)
  • Not investigating and testing the AI tools available in HubSpot
  • Wanting to go for the full 100% automation drastically (this will be ideal in the future, but AI can still hallucinate and get things wrong, so human criteria and eyes for supervision are recommended. And nothing should be done drastically, give some time for adoption and testing)
  • Not making a list of challenges we have as a business and trying to match them with HubSpot tools that could potentially solve them
  • Not using HubSpot credits to test (the previous bullet point) and build an internal use case to get approval and implement it
  • Not communicating internally the changes in the processes with AI
  • Not doing an AI assessment as a company and for each internal team (this may surprise you)
  • Not training the team members on AI for full adoption.

This list can feel overwhelming, specially if you are currently in Level 0, but having this in mind will help you climb the ladder faster and with less stress. This doesn’t mean skipping steps, just having some extra insights at hand to avoid setbacks.
